About the Position

The Client Services Assistant is a dynamic and proactive support person for staff and clients.  The ideal candidate has tremendous organizational skills, is very attentive to detail, and has the ability to set priorities and handle multiple projects simultaneously. He or she brings top-notch planning skills, great interpersonal skills, and a passion for high level customer service. The ideal candidate also has “grit” and a very strong internal locus of control that ensures success. OPG has a fast-paced and intense culture, typical of management consulting firms, requiring both mental and physical stamina. The ideal candidate self-manages and accomplishes work at a rapid pace while not forsaking quality standards.

 

  • Represent the business in a highly professional manner at all times
  • Manage Partner’s calendars, coordinate with personal schedules, and arrange and manage travel plans ensuring the time of the Partner is maximized and in line with OPG’s priorities
  • Attend client meetings as requested by OPG consulting staff to assist with set-up, note taking, and onsite support; this position will require traveling to client sites
  • Prepare notes and compile evaluations from client meetings; prepare or edit PowerPoint presentations and other materials for presentation to clients
  • Complete all follow-up activities generated at client events
  • Coordinate travel arrangements (flight, train, hotel, car service, etc.) as requested
  • Provide project assistance for OPG consulting staff, including liaising with client representatives to iron out meeting and event logistics
  • Ensure OPG consulting staff have all materials for upcoming client events
  • Maintain facilitator’s equipment, ensuring it is always prepared for a client engagement
  • Provide administrative assistance including filing, copying and routing of documents, drafting correspondence, troubleshooting, etc.
  • Answer phones; route and direct calls as appropriate; sort and distribute mail
  • Monitor supplies and process orders for the office
  • Additional tasks as requested

Qualifications/Requirements

  • Bachelor’s degree required
  • Minimum two years of work experience in an administrative capacity; experience supporting an executive (e.g. VP, C-suite, or equivalent) or as a personal assistant preferred
  • Able to type at least 50 – 60 wpm with a high degree of accuracy
  • Interest in performing a critical support role while learning in a fast-paced, entrepreneurial environment
  • Be extremely well organized and attentive to detail, with ability to set priorities, juggle multiple tasks, and manage your time well
  • Possess a high level of common sense; have quick intelligence, sense of humor, strong work ethic, and a “roll-up-my-sleeves” attitude
  • Be extremely mature and able to express your needs professionally
  • Have desire to work in a small organization with minimum supervision
  • Excellent writing and editing skills for documents including presentations and proposals, and facility with PowerPoint
  • Keen eye for detail
  • Proficient in Word, Excel, PowerPoint and Outlook; preferred experience with Survey Monkey, setting up Go-to-Meeting, Skype, etc.; also comfortable and proactive about learning new technologies
  • Able to work well with others and be extremely flexible and mature; this position requires continual interaction with individuals from a variety of backgrounds

Responsibilities

As an Associate, you will participate in consulting projects that assess and resolve organizational problems, design management seminars, and create strategic plans for organizations in the non-profit, for-profit, and public sectors. An Associate engages in a variety of tasks including:

  • Managing projects
  • Conducting primary and secondary research on management and organizational issues
  • Designing data collection tools and collecting and analyzing data
  • Writing and editing reports
  • Providing support and logistics for senior associates, partners, and other consulting staff
  • Drafting and editing proposals
  • Interacting with clients

 

Qualifications/Requirements

  • Master’s degree or higher (MBA preferred)
  • 3-5 years of related business experience
  • Project management skills (create work plans, define scope of project, identify tasks required to complete project, assign deadlines and responsibilities, track status, follow up, and communicate with the team on a regular basis regarding status of projects)
  • Familiarity with online data collection tools (e.g., SurveyMonkey, Qualtrics)

Responsibilities

Client Services

  • Provide strategic planning, executive coaching, team building, facilitation, and other organizational development services to clients at the expert level
  • Present information to groups ranging in size from 6 to over 100 people
  • Identify issues and form hypotheses; perform organizational diagnoses
  • Formulate and implement recommendations and solutions for client organizations
  • Run focus groups and facilitate workshops
  • Carry out or oversee research and data collection as needed for projects

Marketing/Outreach

  • Reach out to potential clients on international, national, state, and local levels
  • Coordinate, attend, and lead effective and productive sales calls and meetings with current and potential clients
  • Prepare winning proposals

Project Management

  • Manage projects and programs, including leading and managing those within a project team, such as analysts and support staff
  • Plan, organize, lead, and complete projects
  • Ensure the client receives the assistance needed to implement recommendations and solutions
  • Maintain the leadership role in the management of the client relationship
  • Successfully handle multiple projects at the same time

Organizational Citizenship

  • Mentor junior associates
  • Participate in administrative and marketing aspects of the firm as needed
  • Travel for client consultations; this requirement may include domestic or international overnight travel; average travel is 4 – 5 nights/month
  • Must be flexible in hours and be available on some evenings and weekends; this is not a 9 – 5 job

Requirements

  • Master’s Degree or equivalent in management or business related field, preferably in organizational development; expertise and theoretical grounding in coaching and strategic planning
  • Experience in a significant role in an organization in order to bring first-hand management and leadership experience to OPG’s clients
  • Entrepreneurial attitude appropriate to a small and growing firm

Compensation Package

The Senior Associate position will start as a subcontractor position with the potential to move to a salaried position. Once salaried, the position will include salary plus bonuses and benefits.

Position Description

The Business Manager proactively works with the Partners in running the firm and ensuring its profitability by managing resources and costs, decreasing risks, and increasing revenue. The Business Manager attends to the internal structures, processes, and procedures that give the firm a solid footing on which to grow and be successful. The Business Manager is responsible, with the guidance and partnership of the firm’s Partners, for the following broad areas:

  • Human Resources
  • Administrative staff productivity
  • Insurances
  • Information Technology
  • Facilities
  • Legal
  • Knowledge management
  • Contracting
  • Assist in financial oversight of the firm (budgeting, forecasting, reporting)

Position Responsibilities

  • Manage the internal functions of the firm so that client services are stellar and OPG’s clients are extremely satisfied with OPG’s work
  • Ensure that the firm’s brand is always well represented in terms of quality of work
  • Oversee internal operations including oversight of administrative and support staff, other than the Financial Coordinator
  • Write contracts for potential clients that reflect the understanding of the client and lead consultant
  • Work with a Partner to maintain financial oversight of the firm
  • Oversee all HR functions, including recruiting for open staff positions, interview recruits, and make hiring recommendations to the firm’s Partners
  • Continually improve OPG’s internal processes
  • Create a dynamic and supportive work culture that increases employee productivity, loyalty, and retention
  • Handle all insurances so that the firm is covered in the event of any insurable incident
  • Manage IT issues for the firm, other than the website
  • Ensure that all equipment functions well and is replaced in a timely manner

  • Maintain all internal handbooks and protocols
  • Ensure that all work, processes, and procedures comply with the law, generally accepted practices, and high moral standards
  • Ensure that the firm is profitable
